CLAUSE 01

Who this policy covers

This policy explains how EW Genealogical Services ("I", "me") handles personal data belonging to visitors to this website and to clients who commission research. It applies to data collected by email, in the course of research, and through record-keeping related to a commission.

CLAUSE 02

What information is collected

Depending on how you get in touch or work with me, this may include:

  • Your name and email address, when you make an enquiry
  • Details you provide about your family history research, including names, dates and relationships of living and deceased relatives
  • Your name, for the purpose of issuing invoices and receipts. Payment is made by you directly via BACS bank transfer, so your bank details are never collected or held by me
  • Any other information you choose to share in the course of an enquiry or commission
CLAUSE 03

How your information is used

Your information is used only to:

  • Respond to your enquiry and discuss a possible commission
  • Carry out agreed research and prepare reports
  • Issue invoices and receipts for deposits and payments made by you via BACS transfer
  • Keep reasonable records of work carried out, in case of future queries

Your information is never used for marketing without your separate, specific consent, and is never sold.

CLAUSE 04

Sharing information with third parties

Personal data is not shared with third parties except where necessary to carry out agreed research, for example when ordering a document from an archive or record office on your behalf. Where this happens, only the information needed to make that request is shared.

CLAUSE 05

How long information is kept

Enquiry correspondence and client records are kept for as long as reasonably needed to deliver a commission and meet accounting and legal obligations, and are then deleted or securely destroyed. You can ask at any time what is held about you and request that it be deleted, subject to any records that must legally be retained.

CLAUSE 06

Cookies and website data

This website does not use cookies or tracking technologies to monitor visitors. No personal data is collected simply by browsing the site; information is only collected if you choose to email in.

CLAUSE 07

Your rights

Under UK data protection law, you have the right to ask what personal data is held about you, to request that it be corrected or deleted, and to object to how it is used. To exercise any of these rights, get in touch using the details below.
